Kettle Corn NYC, a growing artisan
popcorn company known for hand-popping 15+ flavors across the Capital Region, is looking for a Rock Star Executive Personal Assistant — a behind-the-scenes Force Multiplier — to support the Managing Member in running daily operations, managing communications, and driving key initiatives forward.

This role combines high-level executive support with operational coordination —
ideal for a proactive, detail-driven professional who thrives on making things happen and keeping everything on track. You’ll help the Managing Member focus on growth by ensuring priorities are executed, systems run smoothly, and every detail is accounted for.

Key Responsibilities we’ll trust
you with

Executive Support (25%)
- Own the Managing Member’s calendar, communications, travel, and priorities to
protect focus and maximize productivity
- Filter and respond to inbound emails & messages
- Prepare meeting agendas - capturing notes, tracking action items and ensuring follow-through
- Prepare daily & weekly briefings summarizing meetings, tasks, and
follow-ups
- Process confidential documentation including HR, payroll, tax, contracts, and
vendor records with discretion
- Support the hiring process: post jobs, schedule interviews and give us your
input on the candidates
- Use your organizational skills to create a filing system (digital &
physical) for our invoices, permits, insurance, receipts, legal docs, etc.

Operations & Coordination (50%)
- Coordinate weekly food truck scheduling, staffing, and production logistics
- Communicate weekly popcorn truck schedule with social media team
- Own food truck permit application process for venues, and annually for towns & County health departments to include contracts, insurance and payment
- Create & email weekly customer
invoices using PayPal & follow-thru to reconcile payment
- Process weekly Shopify online orders, update website schedule, and create UPS shipping labels
- Maintain/Order office supply inventory, and office operating systems and
subscriptions
- Support ongoing projects and new initiatives as business grows — from events to product launches

Systems & Process Leadership (15%)
- Develop, refine, and maintain Standard Operating Procedures (SOPs)
- Document repeatable workflows to drive consistency & operational
excellence
- Identify process bottlenecks, propose improvements and ensure accountability
- Manage internal checklists and tracking systems for production, sales, and staffing

Client Experience & Brand Support (10%)
- Help maintain a warm, responsive brand presence in all communications
- Assist in collecting client feedback, testimonials & online reviews\
- Partner with marketing team to support operational follow-through on
campaigns and events

Qualifications
- 3-5+ years of executive or administrative experience (hospitality, small business, or events background preferred)
- 4 year college degree preferred - Exceptional organizational and project management skills
- Strong written and verbal communication; professional, warm, and clear
- Proficient in Google Workspace, Microsoft Office, Facebook & Instagram

Compensation & Benefits
- Base Salary: $61,000–$70,000 (depending on experience)
